Terms & Conditions
Veloris Event Planning & Decor
Last updated: September 14, 2026
These Terms & Conditions ("Terms") govern all event planning, coordination, décor, and styling services ("Services") provided by Veloris Event Planning & Decor ("Veloris," "we," "us," or "our") to any individual or business booking our Services ("Client," "you"). By submitting an inquiry, signing a proposal, or paying a deposit, you agree to these Terms.
1. Services
Veloris provides event planning, coordination, décor, and styling services, which may include (depending on the package or proposal agreed to) event design and concept development, décor and styling (including balloon installations, flower walls, floral arrangements, draping, backdrops, red carpet and stanchion setups), event setup and breakdown, and day-of coordination.
The exact scope of Services for a given event will be described in a written proposal, quote, or invoice provided to the Client. Any Services not listed in the agreed proposal are considered outside the scope of the engagement and may be added only through a written change order (see Section 6).
2. Booking, Deposit & Payment
2.1 Booking. A date is only considered reserved once (a) the Client has signed/accepted a proposal or quote, and (b) the required deposit has been received. Inquiries and verbal discussions do not constitute a booking.
2.2 Deposit. A non-refundable deposit of [XX]% of the total quoted amount is required to secure the event date.
2.3 Balance. The remaining balance is due no later than [X] days before the event date, unless otherwise agreed in writing. Veloris reserves the right to withhold delivery, setup, or final confirmation of Services if the balance is not paid by the due date.
2.4 Accepted payment methods: [e-transfer / credit card / other].
2.5 Late payment. Unpaid balances after the due date may result in postponement or cancellation of Services at Veloris's discretion, without refund of the deposit.
3. Cancellations & Rescheduling — By the Client
3.1 Cancellation. All deposits are non-refundable, as they secure your date and cover planning time, sourcing, and administrative work already performed.
3.2 Cancellation timeline:
More than [X] days before the event: any amount paid beyond the deposit will be refunded, minus costs already incurred (e.g., custom orders, rentals booked on your behalf).
Within [X] days of the event: no refund of any payment made, as materials, labour, and scheduling have already been committed.
3.3 Rescheduling. One date change is permitted at no extra fee if requested at least [X] days before the original event date, subject to Veloris's availability. Rescheduling requested with less notice, or a second date change, may incur an additional fee.
4. Cancellations & Changes — By Veloris
In the rare event that Veloris must cancel due to circumstances within our control, the Client will receive a full refund of all payments made. In the case of circumstances beyond our control, Section 8 (Force Majeure) applies.
5. Client Responsibilities
The Client is responsible for:
Securing the event venue and confirming that Veloris (and any subcontractors) are permitted to access it for setup and breakdown, including any venue-required insurance, permits, or vendor approval forms.
Providing accurate event details (date, time, location, guest count, venue rules) in a timely manner.
Ensuring a safe, accessible space for setup (e.g., working elevators, parking/loading access, adequate time windows).
Communicating any venue restrictions on décor (e.g., no open flame, no adhesive on walls, weight limits for hanging installations) known to the Client to Veloris before the proposal is finalized. Veloris is not responsible for redesign costs caused by restrictions not disclosed in advance.
6. Changes to Event Scope
Any additions or changes to the agreed Services (extra décor pieces, additional hours, new install locations, etc.) must be requested in writing and may be subject to additional charges and availability. Verbal requests made on the day of the event will be accommodated only if reasonably possible and may incur same-day pricing.
7. Vendors & Third Parties
Where Veloris coordinates with third-party vendors (rental companies, florists, venues, other suppliers) on the Client's behalf, Veloris is not liable for delays, errors, or failures caused directly by those third parties, though we will make reasonable efforts to resolve issues on the Client's behalf.
8. Force Majeure
Veloris is not liable for delay, failure to perform, or cancellation caused by events beyond our reasonable control, including but not limited to extreme weather, natural disasters, government restrictions, venue closures, power outages, or public health emergencies. In such cases, Veloris will work with the Client in good faith to reschedule or adjust the Services where possible.
9. Liability, Décor Safety & Damage
9.1 Installation safety. Balloon installations, floral arches, draping, backdrops, and similar décor are installed using professional methods appropriate to the venue and conditions disclosed by the Client. Veloris is not liable for damage or malfunction caused by weather (e.g., wind, rain, humidity), venue conditions not disclosed in advance, or tampering/interference by guests or third parties after installation.
9.2 Venue damage. The Client is responsible for any damage to the venue caused by décor placement instructions given by the Client against Veloris's professional recommendation.
9.3 Limitation of liability. To the extent permitted by law, Veloris's total liability for any claim arising from the Services is limited to the amount paid by the Client for those Services. Veloris is not liable for indirect, incidental, or consequential damages (e.g., loss of enjoyment, reputational harm).
9.4 Insurance. [Insurance statement — see note.]
10. Photography & Marketing Use
Veloris may photograph or video setups at the event for portfolio, marketing, and social media purposes. Clients who prefer their event not be used for marketing must notify Veloris in writing before the event date, and Veloris will honour that request.
11. Intellectual Property
Design concepts, mood boards, renderings, and styling plans created by Veloris remain the intellectual property of Veloris unless otherwise agreed in writing, and may not be reproduced or used for other events without permission.
12. Governing Law
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein.
